This Privacy Policy explains how Softball Ready (“Softball Ready,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you use SoftballReady.net and related services.

1. Information We Collect

Depending on how you use Softball Ready, we may collect:

• Account information: adult account holder name, email address, authentication information, account type, and membership status.
• Player profile information: player name, age division, positions, city/state, graduation year, softball experience, availability, travel preferences, performance information, photos, videos, and other profile details provided by the adult account holder.
• Team and coach information: coach name, team/organization name, age division, location, roster needs, tryouts, tournament needs, and related details.
• Communications: messages and pickup-interest responses sent through Softball Ready.
• Membership information: subscription status, renewal status, and Stripe customer/subscription identifiers. Stripe processes payment-card information; Softball Ready does not store full payment-card numbers.
• Technical information: information reasonably generated by our hosting, authentication, security, and service providers, such as device/browser information, logs, and security-related records.

2. How We Use Information

• Provide, secure, maintain, and improve Softball Ready.
• Create and manage accounts, player profiles, team profiles, listings, tryouts, and pickup opportunities.
• Make eligible member profiles and opportunity listings searchable according to the user’s membership status and selected settings.
• Enable private communications between eligible users.
• Process and manage memberships and renewals.
• Prevent abuse, investigate security issues, enforce our Terms and Community Standards, and comply with law.
• Provide customer support and respond to requests.

3. Youth Athlete Privacy

Softball Ready is designed for adult parents/guardians, adult athletes, coaches, and other adult users. We do not knowingly permit a child under 18 to create an account. A youth athlete may appear in a profile only when an adult account holder has authority to create and manage that profile.

Adults should provide only information reasonably necessary for softball recruiting and opportunity matching. Do not post a child’s personal email address, personal phone number, home address, school schedule, daily routine, financial information, Social Security number, or other unnecessary sensitive information.

If you believe a child created an account directly, or that a minor’s information was submitted without proper authority, contact us at info@softballready.net. We will review the request and take appropriate steps, which may include restricting or deleting the account or profile.

4. What Other Users Can See

Public pages may be viewed by anyone. Member-only directories and features are restricted according to Softball Ready’s access rules. When an eligible player profile is published/searchable, coaches may see the softball profile information that the adult account holder chose to provide. Private account-holder contact information should not be publicly displayed merely because a profile is searchable.

Messages are intended for the participants in the conversation. Softball Ready may access or preserve communications when reasonably necessary for support, security, abuse prevention, legal compliance, or enforcement of our rules.

5. Service Providers

We use service providers to operate Softball Ready. These currently include Supabase for database/authentication/storage services, Stripe for membership payments and subscription management, and Vercel for website hosting/deployment. These providers process information on our behalf or as necessary to provide their services, subject to their own terms and privacy practices.

6. Sale of Personal Information

Softball Ready does not sell user personal information to advertisers. We do not provide advertisers access to private conversations.

7. Data Retention

We retain information for as long as reasonably needed to provide the service, maintain account and transaction history, prevent abuse, resolve disputes, comply with legal obligations, and protect Softball Ready and its users. Closed or expired listings and response records may remain in private historical records even after they disappear from active views. We aim not to keep sensitive information longer than reasonably necessary.

8. Your Choices and Requests

You may update much of your profile information through your dashboard. You may request access, correction, or deletion of account/profile information by emailing info@softballready.net. We may need to verify your identity or authority over a minor athlete’s profile before completing a request. Some information may be retained when reasonably necessary for legal, security, fraud-prevention, or transaction-record purposes.

9. Security

We use reasonable administrative, technical, and organizational safeguards appropriate to the information we handle. No website, database, or transmission method can be guaranteed to be completely secure.

10. Changes to This Policy

We may update this Privacy Policy as Softball Ready develops. Material changes will be posted on the site with an updated effective date, and additional notice will be provided when required by law.
